Les Services comptables Token Expert inc. (“Token Expert,” “we,” “us”) explains here how personal information is handled when you visit the website, make inquiries and communicate with us professionally.
We place great importance on the confidentiality and protection of our clients’ data. This commitment guides how we handle your information and documents.
Information and use
Our forms and email communications may contain your name, email address, company name, requested services, platforms used, transaction volumes and how you heard about us. They may also include your telephone number, attachments and other details when you provide them. This information is used to respond to your inquiry, arrange a consultation, assess your needs and prepare a quote.
If you engage us, the information and documents needed for the engagement are used to perform the agreed work, manage the client relationship, issue invoices and meet our legal and professional obligations. Inquiries and client files are managed by email.
Provide only relevant information. Contact forms do not require a social insurance number, password, private key or recovery phrase.
You may choose not to provide optional information. If information needed to handle an inquiry or provide a service is missing, we will explain the consequences and, where possible, other ways to proceed.
Website, cookies and diagnostics
Squarespace hosts the website and processes forms. Depending on the features used and active tools, technical and usage data may include your IP address, browser, network, device, referring page, pages and links viewed, clicks, scrolling, searches performed on the website and timestamps. This data supports operation, security, statistics and improvement of the website and our services.
The website also integrates Microsoft Clarity to understand page interactions, including clicks, scrolling and navigation paths. Google Tag Manager is used to manage tracking tags. These tools may use cookies or similar technologies.
If a form fails, Sentry, when that tool is active, may receive a report including your name, email address, selected services and technical error information to diagnose the problem and support follow-up.
Cookies and privacy choices
Cookies are small files placed in your browser. Necessary cookies support essential website functions and security. Analytics and performance cookies instead help us understand and improve use of the website; their purpose is separate from essential functions.
The “Cookies” panel lets you manage the preferences offered on the website. You can also restrict or delete cookies in your browser; some features may then be affected. Contact us for details about the tools and choices available.
Using the website or accepting its terms of use does not replace separate consent where required for a cookie, tracking feature or other processing of personal information.
Access and service providers
We do not sell or trade your personal information. Within our organization, only employees assigned to handle your inquiry or client file have access to information relevant and necessary to their work.
Outside our organization, only providers that support the operation, delivery or improvement of our services may receive information necessary for their assigned functions. This includes hosting, form, email, analytics and diagnostic providers, within the limits of our terms of use, this policy and the law.
These disclosures are governed by applicable contractual confidentiality and security terms. Engaging a provider does not give it an unrestricted right to use your information. Disclosures required by law or expressly authorized by you as part of an engagement remain possible.
Depending on the providers used, information may be processed or stored outside Quebec, including elsewhere in Canada or abroad. These disclosures must meet applicable personal information protection requirements.
Retention and protection
We retain information for the period reasonably necessary for the purposes of collection, taking into account inquiry follow-up, the engagement, tax and professional obligations, and applicable limitation periods. There is no single retention period for every document. You can ask us about the criteria applicable to your file.
When information is no longer needed and no obligation justifies retaining it, it is securely destroyed.
We use secure data transfer channels and encryption to protect confidential documents. These measures complement access restrictions based on work-related needs. No method of transmission or storage provides absolute security.
Your rights and requests
You may request access to your information, corrections and, where provided by law, a copy of your computerized information in a structured, commonly used format. You may also withdraw consent to a use or disclosure that relies on it, subject to applicable legal obligations. We will explain any consequences for the requested service.
Send requests or complaints to the person responsible for the protection of personal information at info@tokenexpert.io. Proportionate identity verification may be required. You may also exercise remedies provided by law through Quebec’s Commission d’accès à l’information.
Changes
Updates will be published on this page with their date. If a change requires new consent or a specific notice, we will follow the applicable requirements.
